One source of truth: why your systems should agree
When your CRM, spreadsheet and inbox disagree, decisions are wrong. How to build one source of truth for your business.
Nikolas Gannon · · 1 min read · Productivity
When your CRM says a client is active and your spreadsheet says they are gone, you have already paid a price. Someone has to guess, and guesses are where the leaks start.
What a source of truth is
It is the one place a fact lives. Every other system reads from it instead of keeping its own copy. The client’s status lives in one system. The invoice lives in one system. The calendar reads from both.
Why businesses drift
Tools get added one at a time. Each keeps its own copy of the same facts. Over a year, the copies drift, and the business starts running on whichever copy someone happened to look at.
How to build it
- Pick the fact that matters most: contacts, deals or money.
- Make that system the only place the fact is edited.
- Connect the other systems to read from it.
- Kill the manual re-typing between them.
- Report from the source, not from the copies.
What it changes
Decisions get made on the truth, not on the most convenient copy. A lead is followed up because the system says it is open, not because someone remembered. The invoices match the work because both read from the same record.
The honest note
Building one source of truth is a systems job, not a software purchase. It is wiring, rules and discipline. That is the work, and it is why a systems audit starts with where your facts actually live.
If your systems disagree, that is the fastest thing to fix, and the free audit will show you where.

Questions
What is a source of truth?
The one place a fact lives, so every other system reads from it instead of keeping its own copy.
Why does it matter?
When two systems disagree, someone guesses. Guessing is where errors, missed follow-ups and lost revenue begin.
How do I start?
Pick the fact that matters most: contacts, deals or money. Make that the one place it is edited, and connect everything else to it.
