The loop: trigger, AI draft, approve, record

The four-step pattern behind most useful small business automation, explained plainly. Trigger, AI draft, human approve, record.

Nikolas Gannon · · 2 min read · Automation

Almost every useful automation in a small business follows the same four steps. If you understand this loop, you can evaluate any automation proposal, including mine, on the spot.

1. Trigger

Something arrives: an enquiry, an email, a form or a booking. The workflow starts. The trigger is the moment the work begins, and it needs to be defined clearly, or the workflow never fires.

For a deeper look, see Automation ROI: how to calculate it.

2. AI drafts

The software drafts the reply, pre-fills the intake and creates the record, from details you already hold. It does not invent. It assembles from what is already in your systems.

3. You approve

A person reviews what goes out. AI runs the steps, you keep the judgment. This is the safety step and it never disappears. Nothing customer-facing goes out unread.

4. Recorded

The result lands in your CRM, spreadsheet or inbox, one place you already check. The work is traceable, which is how you know it is working.

Why the loop wins

The loop removes the admin while keeping the human in control. It works on a traditional stack or a new one, because it is a pattern, not a product. That is why I am tech agnostic: the loop is the same, and I build it in whatever tools you trust.

These are deterministic flows. The steps are fixed, the rules are written down, and the workflow is tested against the failures as well as the happy path. AI drafts, but it never decides alone. That is the difference between a flow you can rely on and an agent doing whatever it wants.

Where to start

Pick one repeated step and run it through the loop. If you are not sure which step to start with, that is exactly what my free audit is for. Fifteen minutes, and you walk away with two or three automation wins.

Questions

Do I need to understand AI to use this?

No. You approve what goes out. The AI does the drafting and the admin. That is the whole deal.

What should we automate first?

The step that repeats most and costs the most hours. Usually that is enquiries, follow-up or document assembly.

Is this the same for every business?

The pattern is the same. The tools and the exact steps differ, and that is where the setup work is.
